Requirements for Collections Placement

Think you are too small to submit electronically? Think again!

SCI is experienced in helping small clients that are not sure how to get their information to us electronically. We would like to explore every option possible to attain your accounts electronically before manual possibilities. This makes it easier for you, and for us.

Due to issues with security, including HIPAA regulations, SCI offers three options to our clients to submit that information:

  1. Drop off your file via FTPS connectivity which is popular for larger clients.
  2. Drop off your file via our web site (Requirements are below)
  3. Enter in your debtor records individually using our secure website (Requirements are below)

Please note that SCI does NOT accept emailed placements. This is not acceptable due to the sensitive nature of placement information and lack of security in email transmissions.


File Submission Requirements

To submit batch files for placement, you must have an approved file format and layout. While SCI can accept many types of placements, prior review is required to make sure it contains the required information on the accounts, and is in a valid and repeatable format.  Required fields differ based on your industry. SCI also will work with you to discuss approved layouts. Preferred formats include, but are not limited to:

  1. Fixed length ASCII text (.txt)
  2. Comma Delimited (.csv)
  3. Tab Delimited
  4. XML
  5. Spreadsheets (spreadsheet formatting causes delays in processing)
  6. Other approved formats (Please contact us for more information)

Please note that some formats are NOT acceptable. These formats include, but are not limited to:

  1. Microsoft Word, Word Perfect, or any other word processor format
  2. PDF
  3. Image files (JPEG, TIF, etc.)
  4. Other preformatted file types (If you are unsure of a file type, please ask your sales rep to have it reviewed)

SCI requires that certain information is included in client account submissions. These basic fields make the collection process possible. There are other fields that are strongly suggested to make the process more successful. To understand these fields, please review our "required fields" document.

What is needed to use our placement service option:

  1. To use our FTP service, you will need a user account to be set up. Contact your sales representative or customer service to have this done. You can access the site via your web browser, or any standard FTP client software at: SCI FTP.
  2. If you choose to use either of the website options, you will need a 128-bit Secure Socket Layer (SSL) compatible web browser (Internet Explorer 5.5 with security updates and above for example). SCI has taken the necessary steps to secure the site, and the client can obtain a compliant web browser for free at:

* FTPS requires 128-bit Secure Socket Layer (SSL) and advanced S/KEY password encryption. Two different FTP Client software applications are available to support this encryption. They are Globalscape’s CuteFTP Pro®3.0 and FTP Voyager Secure®
